Botimum's Billing Policy: Transparency at Its Best

At Botimum, we value transparency—especially when it comes to billing. Here’s the deal: whenever you subscribe to a Botimum plan, you only pay for active workflow participants.


What Does This Mean in Practice? ?


  • Let’s say you have a team of 100 members...
  • …but only 15 of them actively participate in workflows...
  • …you’ll only pay for those 15 members.


And here’s the best part: if a participant is removed from all workflows, any unused funds will be credited back to your account. That way, you’ll never lose money on inactive participants!


Who Counts as an 'Active' Participant?


An active participant is anyone who actively engages in one or more recursive workflows. Specifically, a person is considered active if they:

  • Participate in a workflow (e.g., check-in/out, stand-ups, or recurring polls).

However, a person does not qualify as active if they only:

  • Manage a workflow.
  • View workflow reports.
  • Access the Botimum dashboard.
  • Participate in a one-shot poll

Regardless of how many workflows a person participates in, each active participant is billed only once per billing cycle.

What Happens If I Add a New Member Mid-Cycle?


Whether you add a new participant at the start or halfway through a billing cycle, Botimum will only charge you for the remaining portion of that cycle, pro-rated.


Example:

If you add a new participant 10 days into your billing cycle, you’ll be billed a pro-rated amount on your next renewal. For instance:

  • Monthly cost per participant: $1.5.
  • Days in the month: 30.
  • Days remaining in the cycle: 20.

Your charge for the new participant will be:
$1.5 ÷ 30 × 20 = $1.


What If I Pay Annually?


If you opt for annual billing, things stay just as simple. Any additional participants added during the year are covered by your existing credits. If those credits run out before the end of your annual cycle, you’ll be charged for the remaining time based on your new participant count.


Note: Botimum will always notify you 7 days before any extra charges are applied.
