Botimum makes it easy to track your team’s check-ins and check-outs, ensuring that everyone stays aligned on their work and availability. This guide will walk you through creating, running, and managing a Check In/Out workflow.


1. Create a New Check In/Out Workflow


Invite Botimum to Your Channel

Before setting up a stand-up, ensure that Botimum is added to the relevant Slack channel where the stand-up will take place. You can do this by

  • Go to the channel that you want to set up your stand-up
  • Send @botimum, Slack will ask you to invite Botimum to the channel


For optimal performance, it’s recommended to invite the @botimum bot-user to the relevant channels (both private and public) before starting any workflow.


Launch the Check in/out Creation Process

To start using the Check In/Out feature, follow these steps:

  1. Access the Creation Interface:

    • In Slack, type the /botimumcommand to open the Botimum dashboard.
      • Choose "Check In/Out" from the available options.
    • Alternatively, you can visit the Botimum web console.
      • In the dashboard, select "Create a workflow."
      • Choose "Check In/Out" from the available options.
  2. Configure Your Workflow Settings:

        When setting up your Check In/Out workflow, you'll configure the following settings:

  • Welcome Message: Customize the welcome message that participants will see when they check in. You can include dynamic keywords like <date>, <time>, and <channel> to automatically populate the message with relevant details. Example: Daily routine - <date>

  • Where Can a Member Check In: Specify the locations or statuses participants can select when they check in. These can be customized to fit your team's needs. Example: Check in :house:, Check in :office:

  • Where Can a Member Check Out: Define the options available for participants to check out. Similar to check-in, these can reflect different statuses or locations. Example: Check out :hamburger:, Check out :house:

  • Audiences: The workflow will automatically include everyone in the selected Slack channel, allowing them to check in and check out. The status of checked members is updated in real-time, so the entire team stays informed.

  • A Note to Checkers (Optional): Add a short explanation or note for the participants. This can be useful for providing context or instructions related to the Check In/Out process.

  • Schedule: Set when the workflow should run.

    • You can choose to run it daily or only on weekdays, depending on your team’s routine. 

    • Set the time when the Check In/Out card should be sent to the channel. It's recommended to send this before the first team member starts their day. Example: 6:30 AM
  • Settings: additional settings for check in/out
    • Allows Custom Time Check:

      • Enable this option to allow team members to check in or out at a custom time that suits their schedule.
    • Shows Check Out Members:

      • This setting displays the names of members who have checked out, providing visibility into who has completed their work for the day.
    • Shows Check Time on the Check In/Out Card:

      • Include the exact time when members checked in or out on the card, offering more detailed tracking.
    • Show Member's Timezone on the Check In/Out Card:

      • If the previous option is enabled, this setting will also display the timezone of each member alongside their check time, ensuring clarity for teams working across different time zones.
    • Shows History Menu:

      • This option provides a menu where members can view their previous check-in/out history, helping them track their attendance over time.

Once these settings are configured, your Check In/Out workflow will be tailored to your team's specific needs and ready to run.


3. Managing a Check In/Out Workflow

Managing your Check In/Out workflow allows you to keep it relevant and aligned with your team’s needs. Here’s how you can manage it:

  • Access the Management Interface:

    • Use the /botimum command to open the dashboard and select the workflow you want to manage.
    • Alternatively, log into the Botimum web console to manage workflows from there.
  • Edit Workflow Settings:

    • Questions: Modify the check-in and check-out questions if your team’s focus changes.
    • Schedule: Adjust the times for check-ins and check-outs to better align with your team’s workday.
    • Participants: Add or remove participants as needed.
    • Settings: update additional settings
  • Pause or Delete a Workflow:

    • Pause: Temporarily halt the Check In/Out workflow if it's not needed for a certain period.
    • Delete: If the workflow is no longer required, you can delete it. Warning: Deleting a workflow will erase all associated data, including past check-in and check-out records.
  • View Historical Data:

    • The Botimum web console allows you to access and analyze historical data for your Check In/Out workflows, helping you understand team patterns and productivity over time.
